National Membership Database Policy

Responsibility for Database Accuracy

It is the responsibility of State Associations to ensure that data entry onto the National Membership Database is accurate and complete.

Where State Associations have negotiated with affiliated clubs to use the MyClub system and the club inputs membership data then it is the affiliated clubs responsibility to ensure the data entry onto the National Membership Database is accurate and complete.

Processing of Membership Cards

Australian Canoeing will process Membership Cards each Monday that is a business day.

Where errors that are due to incorrect data entry by a State Association or Canoe Club are discovered after the data for production of an individuals membership card has been extracted then replacement cards will only be issued in accordance with the Card Replacement section of this policy

Incurring of Membership Debts

Affiliated clubs, who have negotiated with their respective State Association to use the MyClub system, incur a debt for the State Association and any Australian Canoeing membership fee, payable to the State Association, at the point of Australian Canoeing extracting the data for production of a club members Australian Canoeing membership card. The State Associations are responsible for invoicing and collection of these fees.

Collection of Fees

Australian Canoeing will invoice State Associations (or affiliated clubs in the case of State Associations where Australian Canoeing deals direct) quarterly for membership fees. Payment of membership fee invoices will be subject to AC’s Supply and Payment Terms Policy.

Affiliated clubs, who have negotiated with their respective State Association to use the MyClub system, will be invoiced for the State Association and any Australian Canoeing membership fees by the State Association. Payment will be subject to the respective State Association policies.

Replacement Cards

As Australian Canoeing incurs a financial cost at the point the national membership card production process is initiated a service fee to cover costs AC may have incurred applies where a replacement card is required.

Australian Canoeing will provide replacement membership cards for individual members where their card has been lost or stolen or as a result of an error by a State Association or Canoe Club. A $5.00 per card replacement fee applies which is payable by the members State Association. State Associations may pass such cost on to the individual member or their Canoe Club.
